This policy explains what information Sysfleet Tech Solutions ("we", "us") collects through sysfleets.com, why we collect it, and what we do with it.

Information you give us

The information you provide to us directly is what you enter into the contact form on this site: your name, company name, email address, telephone number, the service category you select, and the message you write. We also collect information automatically, as described under "Visitor identification and cookies" below.

We use this solely to respond to your enquiry and, if we go on to work together, to communicate about that engagement. We do not sell it, rent it, or share it for marketing purposes.

How form submissions are handled

Contact form submissions are transmitted over HTTPS and relayed to our inbox by Web3Forms, a third-party form delivery service. Web3Forms stores submissions temporarily so they can be retrieved if an email fails to arrive. Their handling of that data is governed by their own privacy policy, available at web3forms.com/privacy.

Visitor identification and cookies

This website uses Apollo.io, a third-party business intelligence service, to identify the organisations that visit us. When you load a page, a script served from apollo.io records your IP address and your activity on this site, and Apollo matches that IP address against its database of company networks. This tells us which companies have shown interest in our services so that we can follow up with relevant organisations. This process sets cookies or similar identifiers in your browser.

We have not enabled Apollo's person-level identification feature. We do not attempt to identify you as an individual, and we do not receive your name or contact details from this service.

We run no advertising pixels and no cross-site advertising trackers. Apollo's own handling of the data it collects is governed by its privacy policy at apollo.io/privacy-policy, which also explains how to submit a data removal or opt-out request directly to Apollo.

If you would rather not be included, you can block third-party scripts in your browser or use an ad/tracker blocking extension, and the script will not run. You may also email us at contactus@sysfleets.com and we will exclude your organisation.

Fonts are rendered using typefaces already installed on your device, so no font requests are made to third-party servers.

Server logs

Our hosting provider may automatically record standard technical information when a page is requested, such as IP address, browser type and time of request. This is generated by the hosting infrastructure for security and reliability purposes and is not used by us to identify individuals.

How long we keep information

Enquiries that do not lead to an engagement are retained for up to 24 months, after which they are deleted. Records relating to active or completed client engagements are kept for as long as required for contractual, tax and legal purposes.

Your rights

Depending on where you live, you may have the right to request a copy of the personal information we hold about you, ask us to correct it, ask us to delete it, or object to how we use it. Residents of California and of the European Economic Area and United Kingdom have specific statutory rights in this area.

To make any such request, email contactus@sysfleets.com. We will respond within the timeframe required by applicable law. We do not discriminate against anyone for exercising these rights.

Children

This site is intended for business use and is not directed at children. We do not knowingly collect information from anyone under 16.

Security

All traffic to this site is encrypted in transit using HTTPS. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

Changes to this policy

If we change this policy we will update the date at the top of this page. Material changes will be described in this section.
